A successful signing involves more than assigning a notary.
Most signing problems don't happen during the signing — they happen because of insufficient preparation before it and insufficient follow-through after it. Our process is built around both.
We identify a signing professional appropriate for the specific assignment. Location matters, but so does experience with the document type, familiarity with any special instructions, and reliability. We don't simply dispatch the nearest available notary.
Once a signing agent is identified, we confirm all assignment details: signer name and contact information, appointment time and location, document delivery method, special instructions, and return and scanback requirements. The agent confirms they have received and understood all information before the appointment.
We do not simply wait for a completion call. We maintain contact with the signing agent as the appointment approaches and through completion, addressing any issues that arise during the signing. For time-sensitive closings, this active monitoring is particularly important.
When the signing is complete, we confirm completion with the signing agent and follow up on any post-signing steps, including scanback delivery if required. We confirm signer presence and document handling before marking the order complete.
Uploaded documents are reviewed for obvious completeness issues before the order is closed. We look for missing signatures, missing notarial certificates, and other issues that could cause problems at the title company or funding desk. This review is not a legal review and does not catch every possible error, but it catches the common ones.
We confirm that document return and scanback requirements have been met according to your instructions. Once return is confirmed, the order is closed and we are available for any follow-up questions.
